Privacy Policy

This app is licensed to and run by Austin Rowing Club ("ARC", "we", "us"), a 501(c)(3) nonprofit organization on Lady Bird Lake in Austin, Texas.

1. Overview

ARC uses this app to schedule practices, keep safety lineups, track attendance, and help coaches and athletes communicate. We collect your information only to run safe, organized club operations. We do not sell, rent, or trade your personal information.

2. Information we collect

• Account and identity: name, email, phone number, emergency contact, and membership status.
• Rowing profile: side preference (port, starboard, either), sweep or sculling ability, coxing interest and experience, bow-seat ability, and race crew membership.
• Attendance records: practice sign-ups, attendance, boat and seat assignments, coxing history, and no-show records kept under ARC policy.
• Technical logs: basic traffic data (IP address, browser type, timestamps) used only for reliability and sign-in.

3. How we use it

• Let coaches build boat lineups and coxswain rotations by hand.
• Coordinate practice schedules, weather cancellations, and safety alerts.
• Apply club attendance standards and show coaches who is available.
• Verify club membership and secure sign-in.

4. No artificial intelligence

This software does not use artificial intelligence, machine learning, automated profiling, or predictive decision-making. Every boat assignment, lineup, attendance decision, and coaching call is made by ARC coaches and administrators. Your data is never fed into or used to train any AI model.

5. Data security and unauthorized access

We use industry-standard technical, operational, and administrative safeguards to protect your information from loss, theft, alteration, and unauthorized access. We make every reasonable effort to keep the system secure and resilient.

However, no internet transmission or electronic storage is completely secure. Austin Rowing Club and its software providers cannot guarantee absolute security and cannot be held responsible or liable for any unauthorized access, hacking, interception, breach, or disclosure of data caused by circumstances beyond our reasonable control or by unlawful acts of third parties.

6. Sharing

• Within the club: members and coaches can see the roster directory and practice lineups as needed for on-the-water coordination and safety. Contact details are visible only to you and coaches.
• Service providers: hosting, database, and email providers bound by confidentiality, only to run the service.
• Legal and safety: when required by law, subpoena, or to protect the safety of rowers, coaches, or the public.

7. Keeping and deleting data

We keep athletic and attendance history for active members to preserve lineup records and safety logs. You can update your profile at any time, and you may ask club leadership to correct or remove your information.
